Privacy notice

What we collect, why we hold it, who we share it with, and how we handle volunteer records and photography.

The Useful Wood Company is a social enterprise and registered charity (no. 1182905) based in Woking, Surrey. This notice explains what personal data we collect, why, and what you can ask us to do with it.

What we collect

  • If you enquire through this website: your name, email address, phone number, what your enquiry is about and your message.
  • If you book a wood collection: the site address, access arrangements, contact details and the correspondence and invoicing needed to do the job.
  • If you volunteer with us: the contact details, emergency contact, and the health, training and induction records we need to keep you safe on site.
  • If you buy from the wood store: the sale record, and your contact details if you have asked us to hold or commission something.

Why we hold it, and our lawful basis

  • To answer your enquiry. Your consent and our legitimate interest in responding.
  • To carry out a collection or a sale. Performance of our contract with you.
  • To support and supervise volunteers. Our legitimate interest in running the charity, and our legal duty to keep people safe at work.
  • To meet legal duties. Health and safety, waste carrier duty-of-care records, charity reporting and tax law all require records to be kept.

Who we share it with

With the waste and recycling partners who process wood we cannot re-use, where duty-of-care paperwork requires it; with the providers who run the systems we use, including the form service that delivers messages sent from this site; and with anyone we are legally required to tell. We do not sell your data and we do not pass volunteer records to anyone outside the charity without asking you first.

Photography

We photograph the workshop, the yard and finished products. We ask permission before publishing an image in which a volunteer or a customer is identifiable, and we will remove any image on request.

How long we keep it

Enquiries that do not lead anywhere are deleted on request. Collection, volunteering and financial records are kept for the periods required by health and safety, waste, charity and tax legislation.

Your rights

Under the UK GDPR you can ask for a copy of your data, ask us to correct or delete it, ask us to restrict or stop using it, and ask for it in a portable format. Email sales@usefulwood.org or call 07305 987808. We will respond within one month.

Complaints

Please tell us first. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
